Attach Files to Candidate Email
Attaching files to a candidate email involves the following tasks:
- Warning: You cannot attach files larger than 5MB to an email message. In addition, the total size of all files attached to an email message cannot exceed 5MB. If you attach a files over 5MB you receive a warning and the oversized attachments are identified in red text.
The maximum file size limitation for email attachments (individual and total attachment size) is set by a client parameter. If you want to increase the file size limit please contact your PeopleFluent Representative. If your organization will attach files from the Document Repository, it is recommended that file size limitation for the Document Repository and the for email attachments are the same.
For Outlook and Lotus Notes Users
PeopleFluent Recruiting Portal also supports email attachments using both the internal email client and external email clients such as Outlook and Lotus Notes. However, to add attachments to an Outlook or Lotus Notes message, you must first add the attachments via the internal email pop-up message. When configuring your email settings in the Preferences window, make sure your that the
Open in External Email Client check box is cleared if you have selected MS Outlook or Lotus Notes as your default email client.
Attach Files from Your Local Drive
You can attach files from your local drive to any outgoing email in PeopleFluent Recruiting Portal. The procedure below uses the internal email client to explain adding attachments to an outgoing email message.
To attach a file from your local drive
- Open the email window by doing one of the following:
- On the candidate profile, click the
Actions button and selecting
Email Candidate or
Forward Resume from the drop-down list.
- On the Candidate List, click the
Actions button and select
Email Candidates or
Email Selected Resume/CVs from drop-down list.
- Right-clicking on a candidate name in a workflow folder and select
Email Candidate from the shortcut menu.

On the Email dialog box. the
From field is automatically populated with the sender’s email address. This is informational and cannot be changed or modified in any way.

When the email is sent to one candidate, the candidate's email address is visible in the
field. When an email message is sent to multiple recipients, the
BCC field is populated.

If desired, select a
Saved Template and a
Saved Signature. The Subject and email body is automatically populated. Leave these fields blank if you want to manually enter that information.

Click the
Add Attachments icon. The Add Attachment(s) pop-up window appears.

Click
Browse and locate the file you want to upload from your local directory.

Click the
Upload button and the file is attached to the email message. Make sure the individual file attachments and total size of all attachments does not exceed your organization's configured size limit.

Attach Files from the Document Repository
To attach files from the document repository
- Open the email window by doing one of the following:
- On the candidate profile, click the
Actions button and selecting
Email Candidate or
Forward Resume from the drop-down list.
- On the Candidate List, click the
Actions button and select
Email Candidates or
Email Selected Resume/CVs from drop-down list.
- Right-clicking on a candidate name in a workflow folder and select
Email Candidate from the shortcut menu.
- On the Email dialog box. the From field is automatically populated with the sender’s email address. This is informational and cannot be changed or modified in any way.
- When the email is sent to one candidate, the candidate's email address is visible in the
field. When an email message is sent to multiple recipients, the
BCC field is populated.
- If desired, select a
Saved Template and a
Saved Signature. The Subject and email body is automatically populated. Leave these fields blank if you want to manually enter that information.
- Click the
Add From the Document Repository icon. The Document Repository window appears.
- Select the check boxes next the files you want attached to the email message.
- Click
Add to List. The attachments appear above the body of the email message. Make sure the individual file attachments and total size of all attachments does not exceed your organization's configured size limit.

Attach Files from a Requisition
To attach files from a requisition to an email message, you must have access rights to the Requisition Attachments panel. If you do not have access to this panel, you will not see the button to perform this task. Access to the Requisition Attachments panel is given via the user's role in PeopleFluent RMS Administration Portal. Please contact your administrator to turn on the permission.
To attach files from a requisition
- Open the email window by doing one of the following:
- On the candidate profile, click the

- On the Candidate List, click the

- Select each file you want to attach to the email message or click the
Select All button to attach all files linked to the requisition to the email message.
- Click
Add to List. The attachments appear above the body of the email message. Make sure the individual file attachments and total size of all attachments does not exceed your organization's configured size limit.
