Send Bulk Email

PeopleFluent Recruiting Portal users can use the Candidate List to send the same email message to multiple candidates at the same time. Before sending bulk email messages, administrators must enable the MAX_BULK_EMAIL client parameter. This client parameter allows users to limit the number of email messages that a user can send.

Once the client parameter is set, users can send bulk email messages to:

To send bulk email

  1. In the Workflow pane, click the workflow folder that contains the candidates whose resumes you want to email, and display the Candidate List.

  2. From the Candidate List, select check box next to each candidate to whom you want to send an email message.

When candidates are displayed in the Candidate List, users can select multiple candidates individually or click the check box to the left of the Type column to select every candidate on the page. If the Candidate List spreads across multiple pages, users can go to each page and click additional candidates or select the select all check box. The system retains the candidates selected on previous pages

  1. Click Actions icon and select Email Candidates from the drop-down list.

If a user tries to send more email messages than what is set by the client parameter, Email Candidates is disabled. When the user hovers over Email Candidates, a tooltip appears explaining why the action is disabled.

  1. On the Email dialog box. the From field is automatically populated with the sender’s email address. This is informational and cannot be changed or modified in any way.

  2. When a email message is sent to multiple recipients, the BCC field is populated. If desired, you can add other email address in the To, CC, or BCC fields.

  3. To add additional recipients the email message, click the To, CC, or BCC button. The Select Contact dialog box appears. Only users who have PeopleFluent Recruiting Portal accounts are displayed for selection.

  4. From the Select Contact dialog do one of the following:

  1. Enter a subject and body text for the email or select an existing email template from the Saved Templates drop-down list. When a template is selected, the email subject and email body are populated. The templates available from the drop-down list are based on the data tags used in the email template. For example,

    • Other email template types always display in this list.

    • If recruiters are emailing a candidate from a candidate search and it is their default profile, only the Candidate template types display in this list.

    • If recruiters are emailing a candidate from a requisition, only the Candidate Requisition template types display in this list.

    • If recruiters are emailing a requisition contact, the Requisition templates types display in the list.

  2. Select an email signature from the Saved Signatures list. If the user created a default signature, the signature automatically displays in the email body.
  3. If desired add an attachment.
  4. If desired, click Insert Variable Field to insert data tags into the body of the email.
  5. Click Validate Tags to the view the email message as it will appear to the recipient. If data tags are used in the email template, PeopleFluent Recruiting Portal replaces those tags with asterisks (****).
  6. Click Spell Check to confirm spelling in text fields.
  7. Click Email to send the message.
